Adding classes and students (CSV schools)

How to add and manage your classes and students in Sparx Maths, manually or via CSV import.

This article is intended for schools that import their classes and students via CSV (see this article if your school uses MIS import).

Before you begin

  • If you want to bulk-add students, you'll need to prepare a CSV file containing your student data.

  • Use our CSV template to ensure that your data is structured correctly.

  • You'll need to observe the following formatting rules in your CSV file:

    • Dates of birth must be provided in yyyy/mm/dd format

    • Year groups must be in the format 'Year X' (e.g. 'Year 7', 'Year 11')

Important consideration: students can only belong to one class in Sparx Maths. You can't specify multiple classes for a student in your CSV file.

Tip: it's likely that you'll need to make updates throughout the year as students join and leave the school, so keep a master copy of your original CSV file to more easily make changes throughout the year.


Importing students via CSV

  • If you're adding multiple students, it'll likely be easiest to do so via CSV import.

    1. Upload your CSV:

      1. Go to 'Management' β†’ 'Student Manager'

      2. Click 'Add/update students'

      3. Click 'Add/update students via CSV'

      4. Select your CSV file

      5. Wait for the upload to complete

    2. Review and Confirm:

      1. Check for any errors flagged in the preview

      2. Correct any errors in your original CSV if needed

      3. Click 'Preview Student Changes'

      4. Click 'Import/Update Students' once you're happy

Adding students individually via Student Manager

  • If you only need to add a small number of students, it'll likely be easiest to do so manually via Student Manager.

    1. Go to 'Management' β†’ 'Student Manager'

    2. Click 'Add/update students'

    3. Click 'Add single student'

    4. Enter the student's details

    5. Click 'Save'

Frequently asked questions


I'm seeing error messages after uploading my CSV file. What should I do?

Error messages after import typically mean that your CSV data isn't correctly formatted, or there's an error in your data that you need to resolve

  • Check that your CSV file has a header row

  • Ensure that your CSV file contains the necessary columns, in the correct order, as proscribed by our CSV template

  • Check that all dates are in yyyy/mm/dd format (if you're using Excel, it will sometimes try to autocorrect these to your local date format, so you might need to undo this)

  • Check that all email addresses are correctly formatted (watch out for unnecessary spaces; commas instead of dots and missing domain names)

  • Check that year group names are correctly formatted (should be 'Year X').
