Adding, updating and removing key contacts

How to manage your key contacts.

Key contacts are people in your school that we may need to contact with important information about Sparx Maths. This article explains how to manage your key contacts and why each role is important.

Key contact roles and what they mean in Sparx Maths

  • Sparx Maths Leader: A primary contact for weekly insights email, new features, subscriptions and proactive support

  • SLT - Line Manager of Maths: A secondary contact who receives weekly and termly emails plus information relevant to Senior Leaders

  • Head of Maths: Receives weekly insights emails and serves as additional contact if Sparx Leader unavailable

  • Network Manager: Handles technical setup including MIS connection and Single Sign-On

  • Finance Officer: Receives subscription information and invoices

  • Data Protection Officer: Point of contact for data protection queries

  • Head of School: Receives information relevant to Headteachers

  • Business Manager: Contacted about procurement and subscriptions

Adding new key contacts

  1. Go to 'Management' β†’ 'Staff Manager'

  2. Select the 'Key Contacts' tab at the top of the screen

  3. Click the 'Edit' button next to the key contact role that you want to add contact details for

  4. Enter the first name, last name and email address for the contact.

    • If you're assigning an existing staff member to a key contact role, a drop-down will display as you start typing the staff member's name.

    • Click on the staff member from the drop-down which will autocomplete the remaining details for you.

  5. Click 'Save'

Changing the contact details for a key contact

  1. Go to 'Management' β†’ 'Staff Manager'

  2. Select the 'Key Contacts' tab at the top of the screen

  3. Click the 'Edit' button next to the key contact role that you want to edit

  4. Enter the first name, last name and email address for the new contact.

    • If you're assigning an existing staff member to a key contact role, a drop-down will display as you start typing the staff member's name.

    • Click on the staff member from the drop-down which will autocomplete the remaining details for you.

  5. Click 'Save'

Removing a key contact

  1. Go to 'Management' β†’ 'Staff Manager'

  2. Select the 'Key Contacts' tab at the top of the screen

  3. Click the 'Edit' button next to the contact that you want to remove

  4. Delete the contact's email address

  5. From the drop-down that appears, choose 'Remove [Role]'

  6. Click 'Save'

Frequently asked questions


Can key contacts log in to Sparx Maths?


Key contacts do not automatically have access to Sparx Maths - they need to be added separately as staff members if they require system access.

Can a person be both a key contact and have system access?


Yes - users with the roles "Sparx Maths Leader", "SLT- Line Manager of Maths" or "Head of Maths" will automatically appear in both the Key Contacts and Staff tabs once their account is created.

Why do you need different key contacts?


Different roles receive specific types of information relevant to their responsibilities. For example, Network Managers receive technical setup information while Finance Officers receive invoicing details. This also helps us understand the person's role if a support message or email is received.

How do I know if I'm missing any required key contacts?


Your Sparx site will display a warning box and triangle if any key contact roles are missing.
