This article is intended for schools that import their classes and students via CSV (see this article if your school uses MIS import).

Viewing your current classes and students

  1. Go to 'Manage' → 'Class Manager' to view and manage your classes

  2. Go to 'Manage' → 'Student Manager' to view and manage students

You may need to choose a year group from the class selector at the top of the screen, before your classes or students are listed.

Moving students between classes

Moving students manually via Student Manager

  1. Go to 'Management' → 'Student Manager'

  3. Click 'Move selected student(s)'

  4. Choose 'To a class'

  5. Select the destination class

Moving students via CSV import

  1. Prepare a CSV file containing your student data, ensuring to include the students' new class assignments

    • Ensure that the students' names and dates of birth in your CSV file match exactly what's in Sparx Maths to avoid creating duplicate accounts

    • The CSV import process depends on these matching to update student records - if the names and dates of birth don't match, new student accounts will be created using the names provided in your CSV file.

  2. Upload your CSV:

    1. Go to 'Management' → 'Student Manager'

    2. Click 'Add/update students'

    3. Click 'Add/update students via CSV'

    4. Select your CSV file

    5. Wait for the upload to complete

  3. Review and Confirm:

    1. Check for any errors flagged in the preview

    2. Correct any errors in your original CSV if needed

    3. Click 'Preview Student Changes'

    4. Click 'Import/Update Students' once you're happy

Changing student details

Changing student details individually via Student Manager

  1. Go to 'Management' → 'Student Manager'

  2. Click the pencil icon next to the name of the student that you want to change

  3. Edit the relevant information under the 'Personal Details' and 'Parent Emails' sections

  4. Click 'Save'

Changing student details in bulk via CSV import

  1. Prepare a CSV file containing your updated student data

    • This means that you can't update students' names nor dates of birth via CSV import - you'll need to do this manually via student manager.

  2. Upload your CSV:

    1. Go to 'Management' → 'Student Manager'

    2. Click 'Add/update students'

    3. Click 'Add/update students via CSV'

    4. Select your CSV file

    5. Wait for the upload to complete

  3. Review and Confirm:

    1. Check for any errors flagged in the preview

    2. Correct any errors in your original CSV if needed

    3. Click 'Preview Student Changes'

    4. Click 'Import/Update Students' once you're happy

Changing students' usernames

  • If you need to change a student's username, you'll always need to do this individually, via Student Manager (usernames can't be changed via CSV import)

    1. Go to 'Management' → 'Student Manager'

    2. Scroll down to the 'Sparx login details' section

    3. Enter a new username for the student (must not duplicate a username that's in use by another student)

    4. Click 'Save'

    5. Make sure to tell the student that their username has changed (they won't be able to log in with their old username once you've changed it)

If a student's name changes, their username won't automatically change - you'll need to change this manually if needed.

Frequently asked questions

What information can I update via CSV import?

  • You can update a student's gender, class, year group, email address, and parent/carer email address(es).

  • You can't update a student's name or date of birth, as the CSV import process depends on these remaining the same in order to match a student's record in your CSV file with the student's account in Sparx Maths.

Do I need to include all students in my CSV when making updates?

  • No, you can include just the students you want to update.

  • Ensure that the students' names and dates of birth in your CSV file match exactly what's in Sparx Maths to avoid creating duplicate accounts (the CSV import process depends on these matching to update student records - if the names and dates of birth don't match, new student accounts will be created using the names provided in your CSV file).

I've moved a student to a new class. Why aren't they showing on the hand-in page for the new class?

  • In Sparx Maths, homework is linked to the class that it was generated for

  • When you move a student to a new class, you need to refer to the hand-in page for their old class to view previous homeworks

  • The student will start showing on the hand-in page for their new class once a homework has been generated for them in the new class (i.e. after the next homework hand-out day for the new class)

Will students lose their data when moving classes?

No, students retain all their data including XP, homework history, and their current homework level when moving between classes.
