This article explains how to manage the end of your current academic year and prepare for the new academic year in Sparx Maths.
This article is intended for schools that import their classes and students via CSV (see this article if your school uses MIS import).

Check your subscription status in 'Management' β 'School Settings' β 'Subscription'
βAgree to next year's subscription before the current year ends, if you haven't done so already
If your school's Sparx subscription is managed by your MAT, you will not need to take any action

About reset mode
When you reach your academic year end date in Sparx Maths (for most UK schools, this is 31st August), your site will move into reset mode. During this time:
No new homework can be set
Students can still complete outstanding work
Previous homework data remains accessible
Download any data that you want to keep
Download any data that you want to keep
Download any reports in the Reporting area relating to the academic year that has ended, including XP Reports in the Student Rewards section, and the Student Activity Report in the Downloadable Reports section. See Accessing and interpreting reports for more information.
Download any reports from your Curriculum area, including Assessment and Revision reports. See The Sparx Maths Curriculum for more information.
Important: these will not be available after you reset your site, and we will not be able to recover this data after reset.

Once your school has entered reset mode, you'll see a message on your dashboard advising you that you need to set your school up for the new school year
Click this to go to your school's new school year setup page, which will guide you through the following steps:
Add holiday dates for the new academic year
Copy or create schemes of learning for the new year
Add a homework start date
Review staff & key contacts and make any changes needed
Review login settings
Reset your Sparx Maths site
Import your student data for the new year
Review parent email settings

Create a CSV file for the new school year, including:
New and existing students
Updated class information
Updated optional information such as parent emails and school emails for SSO login

It's likely that you'll need to make updates throughout the year as students join and leave the school
Keep a master copy of your CSV file so that you can easily make changes throughout the year, by running a new import with the updated data

No, existing students can continue using their current login details. New students will be able to set up their accounts once their details are imported.
What happens if our CSV file has formatting errors?

The system will flag any formatting errors during import. Common issues include incorrect date formats, missing required fields, or duplicate student information. You'll need to correct these in your CSV file before attempting another import.
Can we import data in stages rather than all at once?

Yes, you can import data in different stages e.g. by year group.
How do we handle students who have left the school?

After importing you new CSV, any students remaining in "No Class" can be removed.
Will teachers and students lose access during the reset?

Teachers and students both maintain full access to Sparx during the reset period.
How do I copy a previously used Scheme of Learning into the new year?

There are two options:
Before resetting, you can copy your current schemes of learning into the next academic year
After resetting, you can find your schemes of learning from the previous year in the Archive tab. You can then copy these into the current year.
